BILL-562: Month-end export doesn't match the dashboard (some invoices missing, some twice)

Ticket #61873 · email · Urgent

Component: Reports (support's guess) · Linked: BILL-540 "FX rates on dashboard look stale" (related?)

From: Hana Whitcombe, external accountant for Kauri & Finch Ltd · Received: Fri 2 Oct, 3:52 pm (Auckland)

Hi team, I'm doing the September close for Kauri & Finch and the month-end export from Ledgerly won't reconcile with your own dashboard. The dashboard says 260 invoices for September, the file has 258 rows, but it isn't simply two missing: I found the same invoices listed twice, and the retainers Aroha emailed to clients on the morning of 1 September aren't in the file at all. There also seem to be extra rows at the end that I don't recognise as September. The NZD total is out by 21,300.00, AUD and USD agree. I've attached my reconciliation sheet and the file exactly as I downloaded it this morning.

I can't hand in a September close with numbers I can't explain, and I need to know whether the files I downloaded in previous months can be trusted. Please treat this as urgent. Hana

Support note (Dana K.): Tried the export in the demo organisations, went through every page twice, and the pages always matched the dashboard. Can't reproduce. Other customers haven't complained and Hana says August was fine. My best guess: currency conversion rounding. Hana converts AUD and USD to NZD in her sheet, and we have stale FX rate warnings in the logs this week (BILL-540). Asked her to compare per currency.

Comment (Marco R., billing engineering): The export docs say it's stable and complete, every invoice exactly once, so I'd look at the spreadsheet side first. If we need a quick win for this customer: the export is paged, so let's just raise the page size so their whole month comes back in one page and the paging can't get in the way. I pulled our app log for the ten minutes around her download (times are UTC).

Attachments (in attachments/):

  • attachments/reconciliation-september.csv: Hana's sheet (dashboard vs export, per currency and per date).
  • attachments/month-end-export-2026-09.csv: the export as downloaded from production.
  • attachments/app-log-2026-10-01T2130Z.log: application log excerpt, all organisations, UTC.

Ask: find out why the export and the dashboard disagree for this customer and fix it so that the export always reconciles with the dashboard: every issued invoice of the month exactly once. We will re-send Hana a corrected September file afterwards; tell us whether her earlier months could have been affected.
