ROOMS-612: Orion was confirmed for two meetings at the same time

Ticket #5120 · email · High

Component: Booking page / email notifications (support's guess)

From: Priya Raman, Office Operations · Received: Wed 4 Nov, 9:12 am

Yesterday at 10:00 two teams turned up for Orion. Dana from Design and Marcus from Sales both got a "Booking confirmed" email for Tuesday 10:00, a few seconds apart, and both showed up with their people (it was awkward, one team ended up in the corridor). This is the third time since September, always at the start of an hour and always for the popular rooms. Last month something similar happened when somebody moved their meeting into a slot at the same moment someone else booked it. Facilities tell me they can't make it happen: every time they try, the second person gets "Room already booked". Please make sure a room can never be confirmed twice for the same time. We have a lot of people booking right at the top of the hour.

Support note (Aiko, tier 2): I looked at the two bookings. Different organizers, different titles, made from different offices, so it is not somebody double-clicking. I tried booking the same room twice by hand and the system correctly refuses the second one. Dev suggested the booking page might be sending its request twice, and that we could add a "someone just booked this room" check on the page. I attached the traffic log for that minute and an export of Orion's bookings for the day.

Attachments: attachments/ingress-2026-11-03-0957-1003.log (load balancer log, six minutes around the incident), attachments/bookings-export-orion-2026-11-03.csv (Orion's bookings that day, as stored).

Ask: work out how a room can end up confirmed twice, and fix it so that it can't, for new bookings and for moved meetings. Don't make the room screens (they poll availability for every room all day) any slower.
