A cancelled meeting still blocks its room hour

ROOMS-640: Orion can't be booked again after a cancellation, but the screen says it's free

Ticket #5187 · email · Normal

From: Priya Raman, Office OperationsThu 5 Nov, 2:10 pm

I cancelled my 14:00 client workshop in Orion today because the client postponed. A couple of minutes later Marcus tried to book Orion for the same hour and got "Room already booked". The lobby screen and the calendar both show Orion as free at 14:00. We tried again a few times and it kept saying it's booked. When Marcus picked 14:30 to 15:30 instead, that worked. It also happened last week with Lyra after someone cancelled, so it isn't just Orion. Can this be fixed? Please don't just remove cancelled meetings, Finance reads the cancelled ones every month to charge cancellation fees, and the usage report needs them too.

Priya

Support note (Aiko, tier 2): I can see the cancelled booking when I open it, it says cancelled, and I can see Orion free on the availability screen. So the screens agree with Priya, it is only the booking itself that is refused. Dev's first idea was to delete cancelled bookings for good. Finance would object, as Priya says. One more worry: the production database has years of bookings in it, so whatever we change has to go onto that as it is; we can't wipe and reload it. A copy of its structure and some data is in the project's db/ folder. I attached the traffic log for that afternoon.

Attachments: attachments/ingress-2026-11-05-1352-1403.log (load balancer log, around the cancellation).

Ask: make a cancelled booking give its slot back, so the same hour can be booked again (and again), without losing any booking that exists now and without making double bookings possible. The change has to work on the existing production data.
